JOB TITLE:

Program Coordinator for Provosts Office

JOB PURPOSE:

Assist in the planning, development, and coordination of operations within the Provost's Office; project coordination and implementation; administrative support to Provost, Vice Provosts, and Chief of Staff; provide clerical support and serve as the front-line customer service for the Provost's Office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide administrative and calendar support for Provost, Vice Provosts, and Chief of Staff of Academic Affairs
  • Schedule and organize Academic Affairs meetings, record minutes, and process administrative documents.
  • Support event planning, including catering, room reservations, and technology setup.
  • Manage department website and update maintenance.
  • Perform general office duties, support, and reception, including greeting visitors, and answering phones.
  • May perform a variety of marketing, public relations, communications, and special event projects and tasks.

SUPPLEMENTAL FUNCTIONS:

  • Manage and maintain office inventory and space (office supplies, student exhibition art, conference room supplies, workroom area).
  • Maintain complex filing systems (electronic and hard copy) and inventories. Collaborate with the American Heritage Center on proper disposition of UW public records.
  • Provide coordination of special events.
  • Assist with travel arrangements.
  • Perform miscellaneous job-related duties as assigned.

REMOTE WORK ELIGIBILITY:

This position provides vital support to campus customers and requires the successful candidate be available to work on campus.

MINIMUM QUALIFICATIONS:

Education: Bachelor's degree

Experience: 1 year work-related experience

DESIRED QUALIFICATIONS:

  • Experience scheduling and maintaining calendars
  • Experience in project management
  • Experience working in a collaborative team and fostering a collaborative work environment
  • Experience in higher education.
  • Experience with website development and management
  • Excellent written, oral, and verbal communication skills
